Approved message templates. Any message your system sends proactively, meaning you initiate the conversation, must use a template approved by Meta. Templates cover order confirmations, appointment reminders, payment requests, and similar transactional messages. Approval usually takes 24 to 48 hours per template.
A BSP account. You do not connect to Meta directly. You go through a Business Solution Provider, a company Meta has approved to manage the connection. Costs vary by BSP and by message volume. Most charge per conversation, not per message.
An integration layer. This is where most projects either work or fail. Your ERP, your CRM, your order management tool, whatever system holds the data, needs to send events to the API. That means a webhook, an API call, or a middleware service sitting between them. If your system has no API of its own, you need a workaround, and that adds time.
An inbox for your team. The API routes inbound replies into a shared inbox, not a phone. Your team replies from a browser or a desktop tool. Multiple agents can handle conversations simultaneously, with full history.

How the Build Actually Runs
A straightforward WhatsApp Business API integration for a mid size order desk or support team typically runs through four stages.
Stage 1: Setup and verification (one to two weeks)
This is the Meta side: verifying your business, registering the phone number, submitting the first set of message templates. If your business is already verified on Meta, this moves fast. If not, you need a Facebook Business Manager account in good standing before anything else happens.
Stage 2: Connecting your existing system (one to three weeks)
This depends almost entirely on what you already have. A business running a modern cloud ERP with a documented API can be connected in a few days. A business running custom legacy software with no API needs a middleware layer built first. This is the stage where realistic scoping matters most. We scope it before we quote it.
Stage 3: Template design and automation logic (one week)
Which messages get automated? What triggers them? What happens when a customer replies with something unexpected? This is not technical work, it is process work, and the business owner or operations manager needs to be in the room for it. The cleaner your existing process, the faster this goes.

Total realistic timeline for a clean build: four to six weeks. Complex systems with legacy infrastructure or multiple integrations take longer.

If your ERP or CRM has an English or any other language API, the integration does not depend on geography.
The one market where this is not the right tool is the United States, where SMS and email still dominate for transactional messaging and WhatsApp penetration is low.
